PragmaticTours uses a hierarchical architecture where a parent booking links to individual itinerary day records, allowing you to manage multi-leg journeys, track overnight hotel accommodations, and assign resources per day without conflicting calendar blocks. The optimizer automatically keeps the same guide and driver across consecutive days when available, ensuring a consistent guest experience throughout the trip.
PragmaticTours is designed to act as your central dispatch engine for post-booking operations, not to replace your booking system. We use an API-first approach to integrate with your existing website, booking form, payment gateway, and CRM. The system syncs with your current flow rather than forcing a total overhaul — your customers still book through your familiar channels, and PragmaticTours handles everything after the booking is confirmed.
With one click, PragmaticTours analyzes every tour on the board and proposes drivers, guides, and vehicles by checking availability, licenses, driving hours, and language coverage across your entire day at once — not tour by tour. Every proposal lands as a Draft for your review; nothing is confirmed without your approval. You can accept everything at once, review each proposal individually, or reject and reassign manually.
The optimizer runs two modes: <strong>Minimize Resources</strong> uses the fewest vehicles and staff possible, keeping your fleet free for other bookings. <strong>Minimize Cost</strong> finds the cheapest combination of vehicles and staff that still meets every license, language, and hour-limit requirement. Both modes check constraints before proposing — not after — and continuity on multi-day tours is prioritized over cost savings.
When you swap a vehicle or guide, the change propagates across the entire system in real time. PragmaticTours automatically validates that the new resource meets all license, capacity, and hour-limit requirements, and alerts all stakeholders instantly. If a requirement can't be met — no licensed captain available, everyone over their hours — you see an explicit warning naming exactly what's missing, not a silent gap.
Standard calendars are logistics-blind. They don't understand vehicle capacity, geographic constraints, driver hour limits, or asset utilization. PragmaticTours treats every vehicle, guide, and driver as a smart object with rules — license types needed, language requirements, daily and weekly hour caps — running conflict checks across your entire fleet and schedule. It acts as an intelligent operational nervous system, not just a shared calendar.

Two core reports: <strong>Financial Report</strong> shows revenue, staff cost, vehicle cost, and net profit per tour for any date range — cancelled tours show as $0 instead of quietly inflating your totals. <strong>Payable Report</strong> lists what you owe freelance staff and contracted vehicles per pay period, confirmed work only (cancelled assignments never appear). Both export to CSV, ready for QuickBooks, Xero, or your own spreadsheet.
Yes. Upload the passenger list you already receive from the ship or charter operator. Rows that don't match a tour code are flagged, not silently dropped — you can assign them on the spot or create the missing tour product in one click. No more CSV wrangling or manual data entry.
Every report — financial, payable, manifests — exports to CSV on demand. Your fleet, staff, and tour history are never locked in. Each organization gets its own dedicated subdomain with full data isolation. All data is encrypted in transit and at rest.
The beta is free for accepted agencies. We'll share full pricing before general availability — no surprise bill at the end of the pilot. Beta agencies also receive a dedicated onboarding session to build out their fleet, team, and tour templates before going live.
